Responsibilities: File ClerkGathers and organizes files and documentsCreate new files and provide needed information on checklist, forms, and reportsSecures and protects the privacy of documentsAnswer phone calls and emails regarding documentation organizationPlaces files, digital or paper, into their proper locationsLabels and updates paper filesMakes photocopies and sends faxesDevelops and maintains databasesRetrieve data and personnel files for co-workersCalls for maintenance and repairs for building or office equipment as neededMaintain supply inventoriesAssists other co-workers with administrative duties as neededReceptionistHandles incoming and outgoing calls.Answer all incoming calls in a courteous and respectful manner, employing 5 Star StandardsObtains sufficient information from caller to determine nature of call and appropriate referralUses discretion in discussions with callers and maintain composure with upset callersReceives and transmits complete telephone messages within 1 business day of the callMaintains knowledge of Training and HR employee calendars for organization needsProvides information to staff and outsiders regarding internal and external activitiesComplete employment verifications (Turn around 28-48 hours) Including: Forward garnishments to Payroll and Forward court orders to Payroll, Asst. Director, then Corporate Administrative AssistantGreets all visitors entering lobby area.Obtains sufficient information from the visitor in regard to the nature of the visit and make the appropriate referralKeeps abreast of staff whereabouts and internal/external activities to include schedule of meetings/trainings occurring in the various meeting spaces and training rooms to ensure proper visitor referral.Announces all visitors before referring them to go to an employees office or workspace.Assists applicants with completing applications via website.Assists employees with accessing and using API.Answers visitors general questions in relation to the HR, PR, and Access to Care departments. Qualifications: High school graduate or the equivalent required. Office service experience in a legal, banking or medical office environment preferred. Ability to sit or stand for long periods of time; perform filing and clerical duties; communicate verbally; concentrate and maintain accuracy in spite of frequent interruptions; work independently with minimal supervision; and to use judgment in carrying out all phases of the work.
