Job Description:

But not limited to the following;- Greet visitors/the public who come in off the street seeking directions to various other businesses, or who have appointments with agents in the office;- Greet agents who come into the office;- Answer the office landline and relay agents' contact info to callers;- Take telephone messages for agents, and relays them via email and/or text and/or phone calls;- Accept deliveries for agents, find a place to store them, and notify agents via email of the deliveries;- Run "listing report" weekly and compare with listings on board in back of office;- Email RR each morning with amount of (expected) closings for that day and for the remainder of the week;- Order office supplies and equipment as needed;- Check and distribute mail daily from USPS receptacle at end of building;- Check and distribute mail several times daily from drop box beside front door;- Maintain agents' personnel files in filing cabinet;- Maintain list of agents' contact info on computer;- Maintain list of agents' birthdays on computer;- Write and mail birthday cards to agents approx. one week prior to their birthdays;- Maintain calendar of office events and after-hours events, on my desk;- Maintain calendar of conference room reservations on computer AND on whiteboard beside conference room;- Clean conference room asap after use by any agents/clients;- Accept closing packages from Realand Title, and walk to Realand Title to pick up closing packages;- Accept closing packages from other title companies, and from agents, and process commission checks for payments by broker;- Accept e.m. payments from agents and/or from buyers, via dropbox, via USPS, and via FedEx, and process for payments by broker- Accept rental payments from agents and/or from buyers, via dropbox, via USPS, and via FedEx, and process for payments by broker;- Maintain filing system for all listing documents, including requesting documents as needed from agents;- Maintain filing system for all pending documents, including requesting documents as needed from agents;- Maintain filing system for all closed documents, including requesting documents as needed from agents;- Maintain filing system for all Releases, including requesting documents as needed from agents;- Maintain filing system for all Referrals, including requesting documents as needed from agents, and process referral checks for payments by RR;- Maintain and keep current whiteboards for all listing, pending and closed properties;- Post on FB page each Mon. morning for all agents with closings that week to contact me with particulars;- Write receipts to anyone who requests such for any checks brought into the office, and maintain receipt book;- Enter new agents' info into computer spreadsheet, into large printer system at back of building, and into email contacts system;- Advise Broker as needed of any building maintenance and/or cleaning issues;- Gather all trash and take out to dumpster, and replace all trash can liners, each afternoon;- Go thru all office email on a constant daily basis, printing out Dotloop files sent by agents, to create files, and/or to add to existing files;- Check all closed properties for change in MLS status (from "pending" to "closed") on a daily basis, and notify our agents (if they were the listing agents) when the third business day past closing approaches;- Organize birthday "celebrations" for );- Maintain rotation of old closed files in back room of building for three-year expiration date, and contact shredding company when appropriate for "old closed file pick-ups";- Accept items from broker and from agents to be kept at my desk for pick-up from their clients, friends and families;- Follow-up with agents on a weekly basis re: documents needed for listing, pending and closed files;- Maintain monthly count of closed properties on computer, comparing to previous months;- Maintain annual count of closed properties on computer (as well as properties' addresses), comparing to previous years;- Contact telephone company re: office holiday closures;- Open office each morning and close office each evening (checking lights and all doors);- Keep paper and ink in sufficient amounts in copier beside my desk, as well as in large copier at back of building;- Keep drinks, water and snacks in sufficient amounts in break room, particularly during special events at the office/classes at r.e. school;- Keep paper products, office cleaning products, etc., stocked in both bathrooms;- Work very hard to maintain professional working relationships with each of our agents, whether in or out of the office;- Answer agents' questions of a wide variety, as best you can, via email, over office telephone, or in person;- Train/educate part-time Admin. Ass't.;Marketing support for agents-Do social media posts and create graphics/flyers--Job Type: Full-timePay: $11.00 - $18.00 per hourSchedule:
