Job Description:

Education: High School Diploma or equivalent is required. Advanced coursework is preferred.Certification: No certification is required for this position.Experience: This position requires 2 or more years of relevant experience in reception and clerical services in a professional environment.Generally responsible for reception and clerical duties. This work will be performed under general supervision.Primary responsibilities will include but are not limited to:

Answering directing calls from a multi-line phone system in a courteous manner.Greeting and directing guests and teammates in professional manner.Receiving all incoming deliveries.Assisting in metering mail and assuring adequate postage is kept in the meter.Assuring that conference rooms are posted with daily calendars, have all necessary amenities and are neat at all times.Assuring that kitchen(s) is stocked with amenities.Assuring that beverages and meals/snacks are provided for meetings as necessary.Assisting with the coordination of company events holiday gatherings, employee recognition events, community involvement, safety meetings, etc. Ordering welcome signs and insuring that they are on display when clients are scheduled in the office.Ordering office and shipping supplies and maintaining inventories of same.Providing monthly copier meter readings to copier supply company.Ordering flowers for teammates as directed. Coordinating company resource usage and their calendars. Preparing charitable contributions as requested.Completing expense reports for any items placed on the general company credit card.Preparing documents as necessary utilizing Microsoft Word, Excel or Powerpoint.Copying, collating, sorting, faxing and mailing documents as requested. Making travel arrangements including airline, hotel and rental cars as requested. Arranging telephone conference calls and/or video conferences as requested.Formatting and updating Team resumes.Preparing timesheets and expense reports as needed.Tracking and ensuring H2S Monitors, gas and extra cylinders are calibrated and in proper working condition at all times.Coordinating Monthly Safety Lunches and other events as necessary.Posting information on the Company intranet.Registering teammates for conferences and exhibits and confirming that displays, promotional items and handouts are delivered and set up as needed.
Knowledge and application of company standards.Knowledge of office administration procedures.Proficiency in Microsoft Word, Excel and Outlook and other software as needed. Attention to detail.Excellent proofreading and grammar.Ability to communicate effectively, both verbal and written. Ability to maintain confidentiality in all areas. Ability to work in a fast paced environment with extreme multi-tasking. Ability to prioritize effectively.Ability to maintain effective working relationships with teammates, clients, and vendors.Ability to listen and ascertain the needs of teammates and clientsAbility to find and communicate accurate information concerning Hargrove services and capabilities.
